The award protocol already contains text entries and information that were created by a superuser in the template.   There are different types of text entries: - In the case of **predefined text with placeholder(s)**, the text cannot be customized. The placeholders are entered in the predefined locations. *For example, in entries 3.1, 3.2* - **Depending on the answer (yes/no)**, additional information must be provided in addition to the text. *For example, in entries 33, 3.4, 3.5* - **Predefined texts** can also be entered that have neither an answer option nor a placeholder. - With **free text**, you can edit the text entry completely.   Fields with a gray background cannot be changed. Fields with a white background are either free text fields or intended for placeholders. You can add an attachment to each text entry. To do this, select the paperclip icon on the right-hand side. If one or more attachments have been added, the number of attachments is displayed in red—in this example, one attachment for entry 3.5. In addition, notes may have been made for individual entries. The notes are displayed in yellow on the right-hand side. This allows adjustments to be made to individual award protocols. For general changes, the adjustments should be made in the template. When you open the text as a superuser, you will be asked whether you want to open the layout for editing. If you select yes, you will be able to make adjustments to the entire award protocol; if you select no, the mask for filling out the award protocol will open.   If a topic was added later or removed from the text area, it can be added using the yellow icon **(1)**. The light blue icon **(2)** can be used to copy text entries to the same or another log and project. Please refer to the section below on copying text entries. In the PDF, a page break is automatically inserted after each text entry when the page is full. If you want the page break to be in a different place, you can insert a manual page break **(3)**. A new text entry can be added using the dark blue icon **(4)**. If there is no text entry for a topic, the agenda item can be selected and the text entry added. It is also possible to create a new text entry for the individual text entries using the plus sign **(4)**. The first plus sign creates a new text entry with the next number (example 1.2). Selecting the second plus sign creates a subtext (example 1.1.1). To ensure that the preview does not take too long to generate, only the text area is created. If you want to create the PDF with a cover sheet, list of pending items and list of resolutions, you can do this in the overview via Create PDF. If you are in a text, placeholders **(2)** can be added. The placeholders are used so that automatically calculated information does not have to be entered manually. A list of possible placeholders is displayed. For example, the date of the minutes or the location of the meeting can be stored. Various symbols **(3)** can be added to entries. The symbols are visible in the text and are also displayed on the PDF. A maximum of two symbols can be displayed. The navigation **(4)** allows you to jump directly to an entry or agenda item without having to scroll to the relevant place in the minutes. All white icons **(5)** affect the formatting in the text and in the PDF printout. From left to right, you have the following formatting options: - Bullet points - Mark text as bold - Mark text as italic - Mark text as underlined - Mark text as strikethrough - Highlight text in yellow - Adjust text colour (cyan, purple, blue, red, orange, green, grey, black) - Remove formatting ![](https://support.realview.ch/hs-fs/hubfs/image-png-Jun-04-2026-01-57-22-6028-PM.png?width=670&height=409&name=image-png-Jun-04-2026-01-57-22-6028-PM.png)   The show/hide icon **(1)** can be used to select whether the position numbers should appear in the printout. **This option must be activated by a superuser in the admin menu.** The speech bubble **(2)** can be used to add notes to a text entry. If notes are added, the icon turns yellow. The notes are not printed on the PDF.   Various settings **(3)** can be made for each text entry. The explanation of the individual symbols can be found below, from top left to bottom right - Attachments can be added using the paper clip. PDF attachments can be added directly to the log in the settings under [Printout](https://www.notion.so/Protokoll-Negotiation-protocol-23f14a76b6e28186b45ae945a0a2e712?pvs=21). - The trash can icon deletes the text entry. The text entry can only be restored by REΛLVIEW. To do this, contact support on [044 512 18 00](tel:+41445121800) or [support@realview.ch](mailto:support@realview.ch). - An image can be attached to a text entry. On the PDF printout, the image is displayed above the text entry by default. **If this needs to be changed, a superuser must report this to support via [support@realview.ch](mailto:support@realview.ch).** - You can open the history of the text entry via the clock icon and restore an older text entry. The change is saved each time you click out of the text entry. - Opens the text settings for this item in the allocation log. - If the check box is activated, the options Responsible, Date and Category disappear. Instead, a bar is activated, which can be switched between Yes and No. **This option must be activated by a superuser in the admin menu.** ![](https://support.realview.ch/hs-fs/hubfs/image-png-Jun-04-2026-01-57-53-3892-PM.png?width=670&height=409&name=image-png-Jun-04-2026-01-57-53-3892-PM.png)   #### Negotiation Protocol Options If you select the purple icon with the spanner symbol for a text entry, you can customise the field type **(1)** of the text entry. You can choose between the following field types: - With **Information field with placeholder**, you have the option of inserting a fixed text that can only be supplemented with placeholders. - With an **information field with free text**, users can freely enter, adjust and delete the text. - If you want to give the option to select Yes for only one text entry within a topic with the Yes/No option, you must select **Linked field with only one “Yes”** for all these text entries. - If the **Information field with reason if “No”** option is active for the Yes/No option, the placeholder must be filled in. - If the **Information field with reason if “Yes”** option is active for the Yes/No option, the placeholder must be filled in.   You can give the placeholders a name **(2)**, which will then be displayed to the user when filling out the award protocol. The placeholder for insertion **(3)** is generated automatically. The general text placeholders **(4)** can be used to insert the completion of construction, performance guarantee or contractual penalty. In the text **(5)**, you have the option of writing your own text, which will then appear in the award protocol. Here you can select the text entries to be copied **(2)**. The selected text entries are then added to a single agenda item. Select Copy to **(3)** to copy the text entries, and Close **(4)** to close the newly opened window. If you have already selected Copy, the entries will remain in the clipboard.
